  • Overview

    The Office Assistant/Manager will maintain office operations for this commercial cleaning and restoration company located on the north side of Chicago by receiving and distributing communications; maintaining supplies and equipment; picking-up and delivering items; and serving customers.


    • Organize and coordinate office administration and procedures in order to ensure organizational effectiveness, efficiency and safety.
    • Enhance organization reputation by accepting ownership for accomplishing new and different requests.
    • Welcome new employees to the organization by conducting orientation.
    • Provide payroll information by collecting time and attendance records.
    • Compile, update and maintain employee information and status changes.
    • Maintain employee confidence and protect operations by keeping information confidential.
    • Forward information by receiving and distributing communication; collecting and mailing correspondence; and copying information. 
    • Serve customers by answering questions; forwarding messages; confirming customer orders; keeping customers informed of order status.
    • Organize and maintain filing system.
    • Maintain office schedule by picking-up and delivering items as needed.
    • Develop standards, manage processes, promote process improvement, and inventory control.
    • Conduct weekly inventory checks and supervise equipment being checked out by team members.
    • Maintain supplies by checking stock to determine inventory levels, anticipating requirements, placing and expediting orders, verifying receipt, stocking items, and delivering supplies to work locations.
    • Establish a historical reference for the office by outlining procedures for protection, retention and retrieval.
    • Coordinate schedules, appointments and bookings.
    • Maintain cleanliness of office space.
    • Laundry of dirty towels, mops, etc.
    • Serve as backup for cleaning staff in emergencies.
    • Contribute to team effort by working together with all employees to accomplish related results.
    • Perform other duties as assigned.


    • Bilingual in Spanish and English preferred, but not required
    • Knowledge of office management responsibilities, systems and procedures.
    • Proficient in Microsoft Office.
    • Possession of strong organizational skills with ability to multitask and prioritize work.
    • Attention to detail and problem solving skills.
    • Excellent written and verbal communication skills.
    • Customer service driven; must have exceptional interpersonal skills.
    • Demonstrated ability to work independently on assigned tasks as well as to accept direction.
    • Must pass background check and may be subject to random drug testing.


    This is a full-time position. Days and hours of work are Monday through Friday, 8:00 am to 4:30 pm.
