  • Overview

    Responsible for a variety of administrative and general office management functions which supports the Pastor, ministerial staff, board of directors, church council and ministry teams to achieve the goals of the Church. Serve as a primary point of contact, maintain records, administrative files and systems. The AA is expected to carry out all duties of the position in a manner consistent with the mission and goals of the Church.

    Responsibilities

    • Performs a complete range of duties for the Pastor, ministerial staff, board of directors, church council and ministry teams including: advanced administrative support, special project work, copying and distribution of Board and committee materials, producing the weekly herald, overseeing calendars, and scheduling meetings with internal and external parties.
    • Composes, types, and proofreads confidential reports, presentations, agendas, letters, and memoranda from brief notes, oral instructions, and handwritten drafts.
    • Answers, screens and routes phone calls to appropriate members.
    • Receives documents, possibly of a confidential and sensitive nature, routes and monitors appropriately for signature, action, and information while exercising discretion.
    • Maintains a variety of records and databases including Church Directory, Strength and Recovery List, Inspections, etc.
    • Collects all dates for church activities, meetings and recreational programs, making all reservations ensuring that there are no conflicts and inputting into all calendars.
    • Develops and maintains positive and cooperative working relationships with the Pastor, ministerial staff, board of directors, ministry teams, and church council.
    • Prepares new members information packets and coordinates receptions.
    • Maintains Church Directory and distribute as appropriate. Keep accurate membership records (new members, baptisms, weddings, etc.).
    • Orders and maintains appropriate inventory of office supplies.
    • Prepares and maintains an Office Procedures and Reference Manual.
    • Recruits and supervises volunteer help for routine tasks as needed.
    • Works in a variety of settings and circumstances, with composure and flexibility.
    • Displays an ever conscious need for confidentiality, always exercise discernment, and wise judgment.
    • Performs other duties as assigned.

    Qualifications

    • Work hours are 9:30 am to 4:00 pm Tuesday through Friday. Occasional evenings and/or weekend hours may be required depending on church programs and events.
    • Minimum 3 to 5 years relevant work experience in administrative support.
    • Associate’s degree or equivalent combination of education and experience.
    • Proficient in Microsoft Office Suite.
    • Have excellent command of English composition and punctuation; writing and editing ability, possess proficiency in grammar, usage and style.
